What Your Participants Really Want
Yes, content is key to your virtual event. So is delivery and process. But I am here to tell you that none of these items matter if you do not understand what your Participants really want. Understanding this is simple in theory, but complex in application. I have found there to be three main goals the Participant has during a virtual event-
To be seen. Participants do not want to be ignored or talked at. They want to engage with the group and Facilitator. Webcams can be a great way for participants to connect, but may not always make sense due to life circumstances. So how does the Facilitator and Event Developer help the Participants feel seen without requiring use of webcams? One way is to treat them like human beings, not just another attendee. Greet them when they join, ask how to properly pronounce their names. Acknowledge their chat responses. Be friendly and inviting. Help them if they need support. By doing this, the Participant will know everyone may not “see” them, they are still being seen.
To be heard. Participants need to know they are being heard. Otherwise, they may choose to disengage from the event. As a Facilitator, providing opportunities for verbal or non-verbal feedback is essential to helping everyone feel safe. Leave pauses for questions or comments. Give options on where to engage- chat, reactions, or verbal. Show appreciation for those who do speak up. Have virtual trainings with smaller groups to leave opportunities for individuals to be heard. I have found no more than 25 Participants per training is key.
To be respected. In order to stay fresh and energized, Participants need a break from their computers every hour for at least 10 minutes. Event Developers need to plan the break time into the training so the Facilitator isn’t playing catch up. I have seen breaks skipped and there is a noticeable drop in engagement. Start on time and end on time. The Facilitator needs to be sure the Participants fully understand expectations for the training and activities.
